Uitdaging

GoHammerHead faced the challenge of managing their complex processes more efficiently. The staff, divided into different departments, works worldwide from different locations and time zones, making it difficult to prepare, coordinate and execute their services at top events. Previous software solutions did not meet their specific needs, leading to high costs and limited efficiency gains. Given their rapid growth, it was high time to create a solution that would make a real difference.

Oplossing

Together with GoHammerhead, Optimeister has developed an integrated ERP system that brings all business processes together in one platform. This system streamlines commercial, operational and financial processes, effectively connecting all departments. From customer relationship management and event planning to financial overview and quote generation, the new system offers a uniform and efficient approach to managing activities before, during and after events.

Different departments, one system

GoHammerHead said goodbye to the fragmented way of working where each department used its own spreadsheets or applications. The implementation of Airtable provides a connection between departments such as Account Management, Operations, Finance, HR and Procurement.

It ensures seamless exchange of relevant data and creates a unified source of information that improves collaboration and efficiency within the global company.

Powerful automations

Powerful automations have been implemented throughout the application that make daily operations considerably more efficient and reduce errors. These automations function both within the system and in interaction with external tools.

Examples include automatically creating folders, sending emails or Slack messages, and updating the status of a deal as soon as a document has been signed.

Web Portal for Event Staff

Effective communication with the event team, consisting of around 200 members, is essential for the success of events. That is why a specific web portal has been developed where team members can log in.

This portal is used, among other things, to manage availability, collect personal information, and communicate event assignments, including flight and hotel information, schedules, and tasks.

Create quotes in the blink of an eye

Given the high volume of customized offers, flexibility and efficiency are essential for GoHammerhead. That is why a quote tool has been developed that allows the team to prepare quotes intuitively and quickly. This tool makes it possible to build quotes and then have them approved by colleagues and immediately digitally signed by the customer.

Thanks to this innovation, the team is now two to three times faster in preparing quotes, which significantly improves responsiveness to customers.

Valuable insights through reports

The uniform registration of data within the ERP system gives GoHammerhead the opportunity to generate advanced dashboards and reports. These tools provide critical insights, such as forecasting future cash flow, identifying the most profitable customers or products, and evaluating overall staff performance.

Through this data-driven approach, GoHammerhead opens a new world of possibilities, making decision-making more effective and strategically based.
