Challenge

Hearst's editors previously worked with Airtable, but each team had its own way of working and structure. The lack of uniformity caused problems within the organization: departments such as Sales and the Internal Agency were unable to efficiently connect to the workflows of the various editors, leading to redundant communication, error-prone spreadsheets and a system that was difficult to maintain and develop. Using Asana for project management also resulted in unnecessary licensing costs and links between tools. Hearst wanted a strategic reimplementation that simplified and made the way they work more efficient.

Solution

Together with Hearst, Optimeister has developed a unified Airtable system that brings together the workflows of eight newsrooms with Sales and the internal office. By working closely with various departments, we have created a user-friendly platform that facilitates collaboration and minimizes the risk of errors. In addition, project management has been completely transferred from Asana to Airtable, making the process easier and saving costs. With more than 50 users, the system provides a solid and scalable basis for further growth and innovation.

One project management platform

Project managers now have a central environment where they can plan and manage all their campaigns and projects. Previously, this required various tools such as Excel and Asana, but these are now obsolete. This saves time, prevents errors and makes workflows more efficient, allowing teams to focus on creativity and quality.

Smart digital briefing forms

We have digitized the existing briefing forms, making project intakes faster and more structured. All the necessary information comes directly from the clients to the right teams, without noise or misunderstandings. This makes the process more efficient and ensures that commercial campaigns in the various magazines are smoothly set up and executed.

Insight into capacity with workload dashboards

With a specially designed workload dashboard, it is immediately clear who is working on what and how much capacity is available. This helps to distribute tasks better and prevents team overload. By providing real-time insight into workload and planning, managers can make faster adjustments and optimize productivity.

Central work environment for all editors

In a later phase, a specific environment was developed for the eight Hearst newsrooms. Here, editors and teams can plan and manage all their articles and communications. This is where they work every day, making content production more efficient.

Real-time insight into ad performance

For paid ads, we've built integrations with Meta and Google Analytics. As a result, the results of campaigns are visible in real time, so it can be seen at a glance how much budget is still available and how a campaign is performing. This helps teams to respond more quickly to trends and optimize campaigns for maximum impact.
